Southwestern Assemblies of God University exists to equip students spiritually, academically, professionally, and cross-culturally for their God-given careers and callings. 
 
Overview: 
The Missions Department Administrative Coordinator provides specific support to the administrative and spiritual responsibilities of the Missions Department in accordance with established Missions Department procedures, accounting procedures and instructions from the Auditors. 
 
Major Responsibilities: 
  • Support and intentionally facilitate an environment conducive to discipleship and spiritual formation, particularly in the area of missional living. 
  • Maintains office protocol, greeting visitors, answering phones, opening mail, reviewing all correspondence, taking meeting notes/minutes, and establishing a “welcoming atmosphere.”
  • Maintains office calendar, weekly staff meetings, Missions Department meetings, birthday celebrations, etc.
  • Helps organize Missions Department special events including but not limited to Missions Connection Week and Southwestern Missions Association World Outreach  Leadership Training.
  • Assists with the preparation and distribution of Missions Department newsletters and other communications along with maintaining Missions Department bulletin board and digital lobby signage.
  • Assists with Missions Chapels by preparing check requests for guest speakers, making hotel reservations and other related tasks.      Assists with facility, vehicle and maintenance requisitions. 
  • Maintains records of all transactions related to missions trips following procedures established by the Accounting Department. 
  • Keeps credit card records filed for accounting and monthly reconciliation.
  • Submits check requests to the Accounting Office for all missions petty cash and trip expenses.
  • Responsible for registering short-term missions teams with Assemblies of God U.S. and World Missions and securing insurance by a carrier approved by the Business and Finance Office.
  •  Performs clerical work to assist the Director of World Ministries with the Internship / Semester Abroad Program 
  • Coordinates travel arrangements for all missions trips in conjunction with the Director of World Ministries.
  • Maintains records relating to the Missions Department activities in accordance with established SAGU record retention policies and privacy laws.
  • Utilizes University approved software to accomplish administrative aspects of the director's academic assignments.
  • Performs other duties as assigned. 

Reports To:

The Missions Administrative Coordinator reports to the Director of World Ministries and receives guidance from the Accounting Office for record keeping procedures.


Qualifications:

  • Ability to work professionally and courteously with the public, faculty, and staff
  • High level of administrative skills
  •  College degree preferred with related business clerical experience 
  •  Good communication skills
  • Demonstrate proficiency in Microsoft Outlook, Word, Excel, Publisher, and PowerPoint 
  • Well-developed organizational skills, verbal and written communication skills, and detail-oriented data entry skills
  • Basic accounting skills
  • Able to make travel arrangements
  • Able to maintain confidentiality of information and files
  • Self-motivated / able to work alone and with a team
  • Able to work under pressure
  • Flexibility in hours for sponsored activities
Desired qualifications:
 
Priority consideration will be given to those applicants possessing an Associates or higher degree in business or accounting, or work experience in accounting/bookkeeping.
 
Compensation: $13.00 - $16.00 per hour
